  • Administer company policies relating to office maintenance and ensure adherence to company administrative and building management procedures.
  • Oversee and manage office space, floor plans, equipment, suppliers, renovation and furniture maintenance.
  • Responsible for new hire pre-preparation such as employee access card, initiate on-boarding email and other relevant office access / requirements.
  • Participate in service agreement negotiation and selection of vendors. Manage office negotiate contracts, lease and service agreements etc.
  • Coordinate and liaise with contractors / vendors, organise and schedule maintenance servicing for all maintenance, repair and replacement works are carried out properly.
  • Review vendor contracts including processing and submitting invoices for payment approval.
  • Manage business partners and vendor relationships. Regularly evaluate services performance and recommend improvements in service delivery.
  • Back up support for other Admin team member as and when required.

  • Arrange for additional back up support of Receptionist as and when required.
  • Assist in stationery and pantry supplies ordering.
  • Manage daily incoming and outgoing mails including sorting and circulating inter-office mails and arrange courier service as and when required.
  • Your profile

  • Degree / Diploma in business administration or its equivalent.
  • Minimum 5 years of relevant working experience in office / facilities management or equivalent.
  • Excellent interpersonal and problem-solving skills.
  • Service orientated mindset, team player, pro-active, independent, able to work with minimal supervision and perform under pressure.
  • Willing to work non-core hours when required.
