  • Acting as a right hand of programme manager and reference point for central PMO queries
  • Establishing and maintaining end to end programme plan for infrastructure and non-infrastructure activities
  • Building and maintaining all required project reporting and the identification of and appropriate escalation of issues and risk.
  • This will include programme level and portfolio dashboard reporting.

  • Sharing lessons learned and best practices across projects, building relationships with stakeholders at all levels
  • Supports the projects in their use of the mandated Risk Management System for tracking of Risks, Issues, Change Requests and Dependencies.
  • Maintaining the Project Management tool Clarity’ with up to date forecast, reporting, risk and planning information
  • Supporting the PM through the funding process, pulling together the business case and ensuring all governance requirements have been met.
  • Ensuring all financial forecasts are accurate and accurately maintained with full transparency back to the projects plan and the Project Execution Document
  • Change Management Maintenance of Change Request Register that fully documents changes to project scope, time and benefits and ensure the Programme Governance Procedures are followed to approve such changes
  • Resource Management Detailed resource profile for each project tracking all resources at activity level and being consistent with forecast as well as actuals
  • Ensure that the project is fully baselined (for financials and Work Breakdown & staffing schedules) and project-based measures are established to ensure that high quality and measurable exit criteria are established for project deliverables and so governance and controls can be applied and that any deviations from the same are monitored and tracked accordingly.
  • Ensure all project documents are delivered as per central PMO governance and guidelines and that for all documents accountability and responsibility has been assigned and is tracked on a regular basis.
  • Establish and conduct monthly Project Steering Committees & weekly Project Working Group’s (and other forums as may be required) and ensure that they are run on a regular basis, are effective in terms of driving project deliverables and minuted.
  • Establish and maintain an effective working relationship with all project and PMO stakeholders to ensure that they are able to execute on their accountabilities in relationship to the project.
  • Tracking of Project Milestones against the master milestone plan and escalating items that are at risk of completion
  • Our Ideal Candidate

  • 7-10 years of experience running / leading programme aligned PMOs
  • Experience managing small teams of PMOs
  • Assertiveness to quickly understand what is required and deliver with minimal intervention.
  • Can do' attitude and not shy of doing the dirty work when required.

  • Proven ability to manage programme financials, including budgeting, resource planning, reconciliations, troubleshooting
  • Exposure to reporting and stakeholder steering committees - challenging material, driving deadlines, ensuring presentation is clean and professional
  • Working closely with PMs to maintain overall programme plan and roadmap, establishing change control and an internal rhythm to updates
  • Maintain overall benefits tracker, including challenge validity of benefits with CFO
  • Establish working group / steering committee materials and structure which allows centralise updates on workstream artefacts and progress information.
  • Interface to internal PMO team on progress, upcoming approvals, issues.
  • Ability to plan ahead and drive preparation for approvals on business cases and vendor engagements.
